Our policies ensure a fair and transparent experience for all who interact with Grand Venues.

Welcome to Grand Venues— modern event spaces designed for life’s most memorable moments.
Please review the policies below before reserving your date.
By submitting a booking request, deposit, or payment, you acknowledge that you have read, understood, and agree to these terms.
All policies are binding upon electronic acceptance.

1. Booking Retainer

A non-refundable booking retainer is required to reserve a date.
Dates are confirmed only after the retainer is received and processed.
Because your date is removed from the calendar once the retainer is paid, no exceptions or refunds are offered under any circumstance.

2. Payment Terms & Due Dates

Payment in full according to the schedule below is required for access and use of the venue.
All payments made electronically through Square and appear on statements as Grand Venues.

Weddings

Final balance is due no later than thirty (30) days before the event.

Non-Wedding Events

Final balance is due no later than fourteen (14) days before the event.

Short-Notice Bookings

  • Bookings made within 14 days: full payment at booking or 50% at booking with the remainder due seven (7) days before the event.

  • Bookings made within 7 days: full payment at booking.

Payment Status & Access

All balances must be paid in full before entry access.
Payments are non-refundable for unused time due to late arrival, early departure, or schedule changes.

Additional Time Payments

Requests for extra time must be submitted at least one (1) hour before the scheduled exit, are subject to availability, and require immediate payment upon approval.
Security deposits may not be applied toward added time.

3. Late Payment & Automatic Cancellation

A $50 late fee applies to any balance not received by its due date.
If payment remains outstanding more than 3 calendar days, the event is automatically cancelled, and all payments are forfeited.
Cancelled events lose calendar placement and must rebook as new events if reinstated.

4. Cancellation Policy

Cancellations must be submitted in writing.
Grand Venues does not invoice any new charges after a cancellation.
Only funds already paid at the time of cancellation may be kept.

  • Weddings
    • Cancelled ≥ 120 days before event → only the retainer is forfeited.
    • Cancelled < 120 days before event → payments already made may be retained up to 50 % of the total rental.

  • • Cancelled < 21 days before event → payments already made may be retained up to 75 % of the total rental.

  • Non-Wedding Events
    • Cancelled ≥ 30 days before event → only the retainer is forfeited.
    • Cancelled < 30 days before event → payments already made may be retained up to 50 % of the total rental.

    • Cancelled < 7 days before event → payments already made may be retained up to 75 % of the total rental.

Any overpayment is refunded within 14 business days.
After cancellation, Client owes no additional rental charges.

5. Security / Damage Deposit

A refundable security/damage deposit is required for every booking:

Venue Deposit:

Grand Occasions $125

Grand Loft $175

Grand Garden $225

Deposits are held separately from rental fee and may be applied toward overtime, cleaning, damage, rule violations, or loss.
The deposit is not a cap on liability.
Unused portions are refunded within 14 business days following the event inspection.
If damages or costs exceed the deposit, Client agrees that Grand Venues may charge the card on file for the balance.
Chargebacks or payment disputes in place of this process constitute a breach of contract.

6. Rental Hours & Use

Rental hours are consecutive and include setup, event activity, and cleanup.
Time cannot be split across multiple days.
Unused time is non-refundable.

All guests and vendors must complete cleanup and vacate the venue by the scheduled end time.

7. Grace Period

All event activity, including cleanup, must be finished by the scheduled end time.
A 10-minute grace period is allowed only for final exit.
If anyone remains inside after that period, overtime charges apply automatically and are authorized to the payment method on file.

8. Early Access & Day-Before Setup

Early access may be approved only if the venue is available.
Confirmation occurs no sooner than 3 days before the event.

  • Day-before access – $250

  • Same-day early access – $150

Payment is required immediately once approved.

9. Cleanup Responsibilities

Client must return the space to a clean, orderly condition:

  • Remove personal items and décor

  • Wipe spills

  • Bag all trash

  • Pop and discard balloons

  • Break down boxes (place beside trash cans)

  • Pour liquids into sink, not trash

Sweeping, stacking chairs, and removing venue linens/decor are not required.
Failure to meet cleanup standards may result in partial or full forfeiture of the deposit.

10. Vendor Materials & Removal

Vendors must remove all property before Client’s exit time.
No items may be left for later pickup without written approval.
Abandoned materials may be discarded, and removal fees may apply.

11. Prohibited Décor

The following items are strictly prohibited unless approved in writing:
Glitter • Confetti • Fog/Haze Machines • Fake Snow • Feathers • Nails • Screws • Tape/Adhesives • Indoor Sparklers • Open Flames

Violation may result in professional cleaning fees or forfeiture of deposit.

12. Music, Noise & Neighbor Conduct

Client is responsible for guest behavior inside the venue and in shared common areas.
Music and noise levels must remain within venue standards and must not disturb neighboring tenants or properties.
Guests may not gather in ways that block entrances, drive lanes, or walkways before, during, or after the event.

If complaints are received, access is obstructed, or authorities are contacted due to disturbance, Grand Venues may end the event immediately without refund and assess applicable fees.
Client authorizes enforcement of this policy as necessary.

13. Security Cameras & Tampering

Video surveillance operates in common areas for safety.
Client and guests may not cover, move, or disconnect cameras or related equipment.
Tampering will result in loss of deposit and may end the event without refund.
Client acknowledges and accepts recorded monitoring.

14. No Smoking

Smoking and vaping are prohibited indoors.
Violations may result in fees or removal from the premises.

15. Alcohol Policy

Alcohol may be served, however, no service to minors or visibly intoxicated guests is permitted.
Venue staff may suspend service immediately for safety or compliance reasons.
Client remains responsible for all alcohol-related conduct.

16. Client Responsibility & Liability

Client is responsible for the conduct of all guests, vendors, and contractors during the rental period.
Client accepts financial responsibility for damages, cleaning, or policy violations.
Grand Venues is not liable for personal injury or property loss except where caused by Venue’s gross negligence.

17. Force Majeure

Grand Venues is not responsible for cancellations or interruptions caused by circumstances beyond its control, including weather, acts of nature, government orders, or utility failure.
In such cases, rescheduling options may be offered at management discretion.

18. Governing Law

This agreement is governed by the laws of the State of Missouri and enforceable in St. Louis County.

19. Authorization to Charge

Client authorizes Grand Venues to charge the payment method on file for:
• rental fees • late fees • overtime • damage • cleaning • policy violations • any balance due under this Agreement.

Client agrees not to dispute or reverse such charges when assessed in accordance with these terms.

20. Entire Agreement & Electronic Acceptance

This Booking Policy, together with invoices or attachments, constitutes the entire agreement between Client and Grand Venues.
Electronic acceptance through Square or email confirmation serves as a legally binding signature.
